Donnie Notes
Privacy Policy

Who this applies to
Donnie Notes is an internal tool for employees of London Export Corporation and its group companies. It is not a consumer product and is not available to the general public. Access requires a company account, so everyone using it is an identified member of staff.
What the app records
- Audio you choose to record. Recording only starts when you deliberately start it, and stops when you stop it. The app does not listen in the background.
- Transcripts and summaries produced from that audio.
- Notes, labels and photos you add to a recording.
- Your work email address, used to identify who made a recording and who may see it.
- Technical records of uploads and processing, kept so failures can be diagnosed.
The app does not collect location, contacts, advertising identifiers or browsing activity, and there is no third-party analytics or advertising in it.
Where it is stored and processed
Recordings, transcripts and notes are held on infrastructure operated by London Export Corporation in the United Kingdom. Transcription, speaker separation, translation and summarisation normally run on that same infrastructure, and the content is not sent anywhere else to do it.
A recording is also held on your own device until it has uploaded, so that nothing is lost when there is no connection.
One case where audio leaves our systems
If our own transcription fails repeatedly for a particular recording, that recording may be sent to a third-party speech-to-text provider so the transcript is not lost. This is a fallback, not the normal path.
The providers used for this are OpenRouter, which routes the request, and Deepgram, which performs the transcription. Only the audio for that recording is sent. It is not used to train their models under the terms we use, and no account information or notes are included.
Who can see a recording
A recording is private to the person who made it. Nobody else can see, play or search it, including administrators.
The person who made a recording can choose to share it with a project, which makes it visible to the members of that project and to nobody wider. Sharing can be undone. Someone a recording is shared with can listen to it, but cannot rename, delete or re-share it.
Recording other people
Conversations usually involve people other than the person recording. Staff are expected to tell participants that a conversation is being recorded and to comply with the law where they are. Anyone in a recorded conversation can ask for the recording to be deleted using the contact address below.
How long it is kept
Recordings are kept until they are deleted. Deleting a recording in the app removes both the audio and its transcript. There is no automatic expiry at present, and any retention schedule the company adopts will be applied to this data too.
Your rights
Under UK data protection law you can ask for a copy of the personal data held about you, ask for it to be corrected, or ask for it to be deleted. Write to the address below and we will respond.
Selling data
We do not sell this data, share it for advertising, or use it to build profiles for marketing.
